In this article, we will look at event organizer insurance. Any event organizer assumes responsibility during their professional activities, whether for:
- conferences,
- sports events,
- theatrical plays,
- exhibitions,
- workshops,
- concerts,
- vacation camps,
- shows,
- events,
- etc.
As an organizer, you can be held liable in case of an accident and will then need to compensate the victims.
Event Organizer Liability Insurance
Liability insurance for organizers helps protect you to some extent from the financial repercussions of a potential accident. The increasing stakes around each “one-of-a-kind” event multiply the risks for the organizer.
From welcoming the public to site rental, including working conditions for technicians and speakers, the event organizer also manages the budget and oversees logistics.
It is important to analyze:
- the risks of one-time or recurring events during the year,
- the profession of event organizer
- and insurance solutions to cover them.
You can find an example of the usefulness of event organizer insurance in the article on wedding insurance.
What insurance policies must the organizer take out?
Liability Organizer (RC Organizer): Whenever you organize a public event, it is advisable to take out liability insurance for organizers. Professional liability is not mandatory unless you organize events or shows in public spaces.
In case damages are caused to a third party due to your fault (a forgetfulness or omission) within the scope of your activity. It is your responsibility that is engaged.
By subscribing to this coverage, you delegate the handling of damages and compensation to your insurer. This policy applies to all persons organizing an event, regardless of its structure: an individual, a casual association, a non-profit organization, etc.
This can therefore concern a cultural center, a sports club, a youth house, a theater troupe… It can be taken out for a year or for organizing a single event:
- a parade,
- a tournament,
- a competition,
- etc.
The liability insurance for organizers is usually taken out:
Either as part of private life liability insurance (also called Family Liability) for individuals, or as part of Business Liability (Operational Liability) for all organizations or commercial enterprises.
Cancellation Coverage:
You can subscribe to cancellation coverage. This insurance is very useful for protecting your financial commitments, as it guarantees reimbursement of non-recoverable costs incurred in case of total or partial cancellation, abandonment, or interruption. Note that several events can cause the event to be canceled, such as bad weather, the unavailability of a key person, damages to equipment, or unavailability of the venue.
DAMAGE TO MATERIALS COVERAGE:
The other insurance contract to obtain for better protection is damage to materials coverage. This insurance covers technical and scenic equipment that you lend or rent for the event (including during transport), such as tents, stands, lighting, and sound equipment.
INDIVIDUAL ACCIDENT COVERAGE:
The individual accident coverage helps cover physical injuries to people or volunteers working at the event.
This is also known as personal insurance. Finally, if you operate in audiovisuals, know that complete formulas exist that gather all the necessary extensions to fully cover the project, from production to recording, including live broadcasting.
In principle, these insurance contracts include damage to property, unavailability, and liability coverage.
The law requires the operator of a public-access venue to take out fire or explosion liability insurance (Objective Liability). This insurance is called objective because it compensates victims automatically, even if there was no fault on the part of the operator.
What is Objective Liability (RC Objective)?
Objective liability means that a victim of damage caused by fire or explosion in a facility accessible to the public can seek compensation from the operator of that facility for bodily and material damages, even if the operator did not commit any fault.
The law caps objective liability at 15 million euros for bodily injuries and 750,000 euros for property damages. This limit applies per incident, regardless of the number of victims.
Once the insurance is subscribed with an insurer, they send an insurance certificate to the mayor of the municipality where the facility is located. If the operator does not take out this insurance, they risk fines and/or imprisonment, as well as closure of the facility.
